Piedmont Wildlife Center Animal Program Policies

Field Trips/Birthday Parties/Private Tours & Experiences: Please have all individuals sign our online Conservation Liability Waiver prior to your visit to PWC. One adult may sign for multiple minors if given permission from all parents.

Program Payment policy

All invoices for any animal program MUST be paid prior to the program. All Program Agreement forms are due at the time of payment. (Public schools are exempt from advance payment, but will need to submit their Program Agreement form prior to their program.)

  • Birthday parties/tours/experiences: Invoices must be paid within 48 hours of receipt in order to keep your program date and time. Invoices not paid within 48 hours are at risk of their program date being released on our calendar.

  • At-School programs: Invoices must be paid at least one week in advance of the program in order to keep your program date and time. Invoices not paid at least one week prior to the program will have their program cancelled.

  • Field Trips: Invoices must be paid at least one week in advance of the program in order to keep your program date and time. Invoices not paid at least one week prior to the program will have their program cancelled. If your final headcount on the day of your program is different from what was originally paid, you will receive a refund via check or receive an invoice for the additional participants, whichever is applicable. Estimated final student headcounts must be given at least one week prior to your field trip. Chaperones are free, but we must be given a chaperone headcount.

Animal program cancellation policy

PROGRAMS ALREADY PAID FOR: If a client cancels within at least 2 weeks in advance, a full refund will be given minus a $25 administrative fee. If a client cancels 2 weeks or less prior to the program, a refund minus a $100 fee will be charged for administrator’s and instructor’s time. If a client cancels due to illness, no refund will be given, but we will reschedule as soon as possible. If Piedmont Wildlife Center must cancel the program due to illness or other reasons unrelated to weather, a full refund will be given minus a $25 administrative fee if we cannot reschedule. All refunds will be given via mailed check.

PROGRAMS YET TO BE PAID: If a client cancels 2 weeks or less prior to the program date, an invoice for 25% of the original program price will be sent. In order for the school, group or client to book any future programs with Piedmont Wildlife Center, this invoice must be paid within 48 hours of receipt.

Fees associated with refunds are used to compensate our administrative staff and previously scheduled educators.

Weather Cancellation policy

In order to fairly honor staff contracts and ensure our ability to offer safe and quality programming, there will be no refunds or discounts offered for program cancellations due to natural disasters, unsafe inclement weather, or other related circumstances outside of our control. In these instances, staff will provide notice of program cancellation as soon as possible along with the following options:

  • A) Visit your school/location on the same date as anticipated severe weather or other related circumstance outside of our control. Exceptions include weather unsafe to travel in including tropical storms, hurricanes and snow/ice storms. Birthday parties, tours and experiences are not eligible for this option.

  • B) Identify a reschedule date (this is often tricky during peak field trip months). We can reschedule your date up to a year from your original program date.

  • C) Groups of 20 total individuals (including chaperones) or less may have the option to have the program held inside of our very small cabin.

Public PROGRAM CHANGE/TRANSFER POLICY

There is a 5% administrative fee for any changes for public programs including Adult Programs, Public Tours, Owl Prowls and other public programming through Active. When registering for Programs please plan accordingly. Transfer requests between registrations will only be granted if spots are available. This only includes registrations through Active. This does not apply for field trips, at-school programs, birthday parties, or private tours/experiences.
